Privacy Policy for BuiltChat

BuiltChat is part of the BuiltSearch ecosystem. In this Privacy Policy, “BuiltChat”, “we”, “us”, and “our” refer to the provider of BuiltChat. This Policy explains how we collect, use, disclose, retain, and protect personal data when you use the BuiltChat website, application, AI features, and related services (collectively, the “Service”).
This Policy should be read together with our Terms of Service. By using the Service, you acknowledge the practices described here. Where consent is required by law, we will request it separately.
Information we collect
Account and profile information
When you register for BuiltChat, you create a BuiltSearch account that may work across BuiltSearch services. We may collect your name, email address, profile information, authentication records, account preferences, and other details you choose to provide. We do not store your password in readable form.
Content you provide
We collect content you submit or create through the Service, including prompts, chat messages, uploaded files, images, audio, custom instructions, memories, projects, project sources, generated content, feedback, and support communications. We also process information you provide when using tools such as web search, regulatory search, file analysis, spreadsheet reading, and image generation or editing.
Please do not submit personal data, confidential information, or regulated information unless you have authority to do so and are satisfied that the Service and the selected third-party provider are appropriate for that information.
Subscription and transaction information
If you purchase a subscription, we collect transaction details such as your plan, billing status, payment date, currency, invoice information, and payment processor identifiers. Payment card and bank details are collected and processed by our payment provider. We generally receive only limited payment information, such as card type, last four digits, and transaction status, rather than complete payment credentials. If access is purchased through a separately negotiated business transaction, we may also collect the contact, invoicing, and agreement information needed to administer that transaction.
Usage and technical information
When you access the Service, we may automatically collect:
- IP address, browser type, device type, operating system, language, and approximate location derived from IP;
- pages viewed, features used, links selected, session times, referring pages, and interaction data;
- model selections, token or usage consumption, tool activity, errors, performance data, and diagnostic logs; and
- security and authentication events used to detect fraud, misuse, and unauthorised access.
Information from other people and services
We may receive information from authentication, payment, analytics, storage, AI, search, and other providers that help operate the Service. If another user invites you to or shares a project with you, we may receive your email address, permission level, and information about that invitation. Users who collaborate in a project may see your profile details and your contributions to that project.
Cookies and local storage
We use cookies and similar browser storage to keep you signed in, protect your account, remember preferences, maintain sessions, and operate Service features. We may also use analytics and measurement services to understand general usage, evaluate performance, and improve the Service. Some preferences, such as interface or model settings, may be stored locally on your device.
You can control cookies through your browser settings and clear locally stored data through your browser. Blocking cookies or browser storage that are necessary for authentication or core functionality may prevent parts of the Service from working correctly.
How we use information
We use personal data and user content to:
- create, authenticate, administer, and secure your BuiltSearch account;
- provide the features and AI-generated responses you request;
- store and synchronise chats, files, projects, preferences, and generated content;
- enable sharing and collaboration at your direction;
- process subscriptions, payments, invoices, cancellations, and related account records;
- calculate and display usage allowances and enforce plan limits;
- provide support and send operational, security, billing, and service communications;
- monitor reliability, diagnose errors, maintain security, and prevent fraud or misuse;
- understand aggregate feature usage and improve the functionality and usability of the Service;
- comply with legal obligations and enforce our agreements; and
- send marketing communications where permitted by law and according to your choices.
We do not use your prompts, files, chats, images, or other user content to train our own AI models. Product improvement may use technical metrics, diagnostics, feedback you choose to provide, and aggregated or de-identified usage information rather than the substance of your private content.
When we disclose information
We do not sell your personal data or user content. We do not disclose user content to third parties for advertising, data brokerage, or the independent purpose of training unrelated models. However, when you choose an AI model or tool, its provider may retain or use submitted information according to its applicable terms and data controls, including for model improvement where those terms permit it. We may disclose information in the following limited circumstances.
Service providers
We use service providers to operate BuiltChat, including providers of AI models, web and regulatory search, cloud hosting, databases, file storage, authentication, payments, email, analytics, error monitoring, and customer support. They receive only the information reasonably necessary to perform their function. For example, when you select an AI model, we send the relevant prompt, conversation context, files, or images to the provider so it can produce the requested response.
A third-party AI or tool provider’s retention and use of information, including whether information may be used for model training, is determined by that provider’s applicable terms, privacy policy, and data controls. These practices may differ between providers and may change. Review the policies of the provider associated with a model or tool before submitting sensitive information. Sharing and collaboration
We disclose content and account information to other users when you direct us to share a chat, invite someone to a project, join a shared project, or otherwise use a collaborative feature. Project owners and participants may be able to view, copy, edit, download, or further share information according to their permissions. Review the audience and permission settings before sharing.
Legal, safety, and business requirements
We may disclose information when we reasonably believe it is necessary to:
- comply with applicable law, regulation, legal process, or a valid government request;
- protect the rights, safety, and security of users, the public, BuiltChat, or BuiltSearch;
- investigate fraud, abuse, security incidents, or violations of our Terms; or
- complete a merger, acquisition, financing, reorganisation, or sale of all or part of the business.
Where legally permitted and reasonably practicable, we will take steps to protect the confidentiality of information disclosed as part of a business transaction and notify affected users before personal data becomes subject to a materially different privacy policy.
With your direction or consent
We may disclose information to another party when you ask us to do so, connect a third-party service, or otherwise give us permission.
Data retention and deletion
We retain personal data and user content only for as long as reasonably necessary to provide and secure the Service, maintain your account, fulfil the purposes described in this Policy, comply with legal and accounting obligations, resolve disputes, and enforce our agreements. The appropriate retention period depends on the type of information, why it was collected, the sensitivity of the information, and applicable legal requirements.
When you delete content, we begin the deletion process promptly. Permanent removal may not be immediate because copies can remain temporarily in backups, logs, caches, or systems used for security and disaster recovery until they are removed through ordinary deletion cycles. We may retain limited records where required by law or reasonably necessary for fraud prevention, security, billing, dispute resolution, or enforcement. When information is no longer required, we take reasonable steps to delete or de-identify it.
Information transmitted to third-party AI, search, or other service providers is subject to those providers’ retention practices and data controls. Deleting content from BuiltChat does not necessarily delete copies already processed or retained independently by those providers. Their applicable policies describe their retention and deletion practices.
International data transfers
BuiltChat is operated primarily from Singapore, but we and our service providers may process or store information in other countries. Those countries may have different data protection laws. Where required, we take reasonable steps to ensure that transferred personal data receives a standard of protection comparable to that required under applicable Singapore data protection law.
Data security
We use reasonable administrative, technical, and organisational safeguards designed to protect personal data against accidental or unlawful loss, misuse, access, disclosure, alteration, or destruction. These measures may include access controls, secure authentication, encryption in transit, monitoring, backups, and restricted administrative access. No transmission or storage system is completely secure. You are responsible for protecting your credentials, using a secure device, and notifying us promptly if you believe your account has been compromised.
Your choices and rights
Depending on applicable law and your circumstances, you may be able to:
- access and update certain profile and account information through your settings;
- request access to personal data we hold about you and information about how it has been used or disclosed;
- request correction of inaccurate or incomplete personal data;
- withdraw consent where our processing depends on consent, subject to legal or contractual consequences;
- request deletion of your account or certain content, subject to applicable exceptions;
- unsubscribe from marketing emails using the link in the message; and
- cancel a paid subscription to prevent future renewals.
To exercise a privacy right that is not available in your account settings, email support@builtsearch.com. We may need to verify your identity before acting on a request. We will respond within the period required by applicable law. Some requests may be limited where an exception applies, including where retention is required by law or necessary to protect the rights of others.
Marketing communications
You may opt out of promotional emails at any time by using the unsubscribe link in the message or contacting us. You may still receive non-promotional communications required to operate your account, such as security, billing, support, and material service notices.
Children’s privacy
The Service is not directed to children under 13, and we do not knowingly collect personal data from children under 13. A person below the age of majority where they live may use the Service only with the consent and supervision of a parent or legal guardian. If you believe a child has provided personal data without appropriate consent, contact us so we can investigate and take appropriate action.
Third-party websites and services
The Service may display web results, citations, integrations, or links to third-party websites and services. This Policy does not govern those third parties. Review their privacy policies before providing information to them.
Changes to this Privacy Policy
We may update this Policy to reflect changes to the Service, our practices, or applicable law. We will post the updated version and revise the “Last updated” date. If a change materially affects your privacy rights, we will use reasonable efforts to provide additional notice before the change takes effect where required by law.
